Flexible events: the biggest trend of 2022

The events industry has been on its own trajectory for quite some time. Pre-COVID, traditional full-day conferences and meetings with large sit-down lunches and coffee breaks were starting to become old and tired as more and more organisers sought unique ways of creating engaging experiences for delegates. 

This started with a rise in sustainable events, as the realisation that traditional events were bad for the environment hit home. It was closely followed by an explosion of event technology companies all offering the latest technology to enhance events from virtual events to gamification. 

Then COVID hit. The pandemic heavily affected how we met, with events cancelled or postponed around the world leaving event organisers to adopt new delivery models going entirely digital or embracing hybrid digital and in-person solutions. 

Now the pandemic has shifted, organisers have been prompted to deeply reflect the future of the industry and to understand what events of the future look like. The challenge is ensuring events add value and create memorable experiences for delegates while ensuring they are kind to the environment.

As a venue catering for thousands of delegates each year, we’ve been delighted to see that event numbers are swiftly returning to pre-COVID levels. There is no doubt in our minds that people still want to meet. The difference between 2022 and 2020? Flexibility.

Outdoor space to enhance events

While traditional indoor conferences still have their place, we have found that having a garden has been of great benefit to our clients. The RCP’s Medicinal Garden is a wonderful tranquil space in the heart of central London, adjacent to Regent’s Park.

The real joy of this space is its unique and bespoke collection of plants: our 1,100 plants, herbs and flowers tell the myriad stories from diverse cultures and different countries, and offer an illuminating window into the history of medicine throughout the centuries.

In 2022 our clients have embraced the opportunity to reconnect with nature in our garden which provides a safe, relaxing place to unwind. Some organisers have chosen to host events for up to 150 people in the garden. Others have utlilised it for or breakout sessions. A flexible option for those looking to inject something memorable into their events. 

Virtual and hybrid offerings

At the onset of the pandemic, we fully switched from physical to virtual events to ensure our clients could continue to engage with their audiences in an impactful way.

Virtual and hybrid event services at RCP London Events

Since all COVID restrictions have been lifted, we have seen that organisers and delegates want to attend events physically, but want a cost-effective option for online participants and on demand content post-event.

We have therefore updated our post production and video services as well as our in-house virtual platform, RCP Virtual, to include options allowing on demand content to be available post-event for 30 days at a time. Being able to offer both hybrid and virtual means much more flexibility for organisers. 

Flexible catering offer 

In 2022, we have seen a rise in demand for breakfast events and half day events, which has meant that having a flexible catering offer has been integral. Our approach to catering goes beyond pure sustenance.

We have curated our menus in a way that delegates feel fuelled by default, and we ensure each allergy and dietary requirement is carefully planned for.

We provide our clients with a choice at every opportunity and our plant-based and healthy options are up in 2022 by 35% on DDRs. This is a key decision factor for RCP London Events’ clients, many of whom are medically minded and conscious of what their delegates fuel themselves with. Having the flexibility to choose is important for many in the current climate.
