COVID-19 - Guidelines for our clients

I am sure like many, you may have concerns surrounding the COVID 19 outbreak and how this may affect your event at the RCP.

Please find enclosed helpful guidelines and links as well as an outline of our policies.  We have also enclosed remote access options for your event, which I hope you will find a useful and a cost effective alternative to postponement or cancellation.

We have no plans to cancel any commercial events at this stage.

We will continue to monitor and act on advice from the UK government and Public Health England, regarding precautions on Covid-19 and implement appropriate health and safety precautions to ensure our commitments to the safety of our attendees.  We will provide updates if the situation changes.

Good morning Chris, Clara and your AV team,

I would just like to say a huge thank you to you all for a wonderfully smooth and successful event yesterday. We organise a lot of events across the UK and I can honestly say that this one was the best!

Right from the 9th January when I first came in to meet Chris in the pouring rain and tube strikes, where I instantly felt that our business was wanted, welcomed and reassured that we would be in safe hands, up until my parting company with the lovely Ana, it was all spot on.

Clara was excellent throughout the planning process; calm, flexible and approachable. It was clear that none of my requests, changes or updates had been missed when it came to the event – it was all in hand. It was great to be able to meet with her on Monday early evening and be introduced to Ana and Charlie to run through things in advance.  This really helped.

The AV team have been great, I was in touch with Luca and Charlie on the lead up to the event who converted files, embedded videos and had everything stored ready for our event. This meant that it was all taken care of on the day, making for a seamless conference in your wonderfully-equipped auditorium. Loris and Charlie looked after us on the day, they were super professional, really friendly and approachable too. I really appreciated being able to duck in and out of the AV booth and keep an eye of presentations and timings without disturbing the proceedings.  I was reassured and best of all, our Speakers were reassured.

Ana and her team were exactly what you would wish for in a front of house team, anticipating your every need before you become aware of them yourself. There was no chasing and no stress at all – I really couldn’t fault them. And my gluten-free goodies?? Well! I was super-spoiled. But best of all? I knew that we had a GF delegate who would have appreciated the attention to detail too.

Having the Thomas Cotton room next to the registration desk was a really nice touch, and so thoughtful for the staff to bring us some food in completely unrequested when a few us hid in there to eat our lunch. Thank you.

It is worth noting that I have the ability to complain. There is usually something that has been missed or something that has let the event down and caused us to discount the venue for future use, I don’t praise like this lightly, I assure you.

Thank you to the whole team who contributed towards such a great event, I look forward to working with you again in due course.

First - LOTS of thanks to you all - you, Henry, Dean, Kim and all your lovely serving staff. The evening was, if possible, an even greater success that usual!! 

The two rooms worked really well and were cosy but not as packed as I had feared. Indeed the Osler Room was positively spacious!!  And we reckon that we only had about ten dropouts, which meant that when you included us, we were well up to 340. So that was all very satisfactory. 

As a result, we have decided - after also talking to a number of our guests and judges - that we really do want to stay with you for next year. Where else are we going to find such a lovely, prestigious – and convenient – venue with such delightful people to work with!! So if people want to make sure they get in they will just have to book early - or pay more!!

Last of all you, your efficient event co-ordination bringing all services into alignment on the day is amazing, your cool calm attitude, availability and patience with us (or of me calling you a lot) is really  appreciated and definitely rubbed off on me keeping me calm throughout the co-ordination of the event.

The event was so successful that the participants have asked for an event like this every 6 months!! Not sure I will put myself forward for the event co-ordination for this one ;-)

Henry, Charlie and the other AV guys were also fantastic all day – being able to work with such an friendly and efficient team takes so much pressure off an otherwise stressful day.

The feedback from our attendees has been great – I think it has been the most successful event of this type that we have held to date and the staff at the RCP had a huge hand in that.

My event contact at the venue gave me the 5 star treatment, I positively felt like a VIP. He was so attentive, helpful, proactive, professional, caring and willing to help. He really couldn’t do enough, he was just perfect as my team weren’t around to support me. He is an absolute asset to your venue and makes it stand out from any service I have (or haven’t!) received from any other venue. I can only hope I have another event that I can put your venue forward for.

In addition, I would also like to give my praise to our AV technician. I was extremely nervous about using the voting keypads for the first time, however, your technician was very accommodating to rehearsing the slides and keypads with me, and even helped with the technical side identifying something to improve the set up even more. He was also a pleasure to work with. You had a fantastic team, and their pride shines through.

I was also extremely impressed with the art working to my signage and making additional signs from what I had sent, they worked extremely well and looks fantastic. Something else, I would never normally expect from a venue.

The food was amazing... and just went on and on .... I received lots of lovely comments about the food from the guests so it obviously went down very well. It was all delicious but particular favourites were the monkfish skewers, the noodle salad and the Eton Mess!

Chris was charming and very helpful. And his team were super too. And nothing was too much trouble for them. And with the delightful setting it just made a very memorable evening.  Please pass on my heartfelt thanks to them.

Thank you too for all your help beforehand with all the arrangements which certainly helped to make the event run like clockwork.

The buffet looked delicious and VERY smart, and was suitably demolished by the guests - thank you very much for taking such good care of all those precious winners, Dean. Being able to hand them over to you knowing that they would all be prepared and displayed so beautifully took a huge load of worry off my mind. 

It all felt so very easy, and meant that I could largely enjoy the evening and all the smiles of the guests, so thank you very much indeed.


Thank you all so much!  The RCP is such delightful place to hold a party - because of the building, because of the location but way above everything, because you and all of your staff are such delight to work with! Nothing is ever too much trouble, you put so much thought and effort into ensuring it all goes right and no matter what we ask for, it appears - or is done - almost before we have even thought of it!

And last night was up to, and way beyond, what we now expect!!  The canapés, I am told, were Delicious - annoying all I got to taste were those wonderfully squirly crispy things - not sure what they were but they were great!! By the time I got to the buffet it looked as though several herds of elephants had been through - but it looked wonderful before the gannets descended – and we have already had loads of complimentary emails. So thank you again, Dean.

And thank you, Henry - we have finally got the AV sorted out!!!!  The new stage, screens and sound were fab!  Soooo much better than last year/the year before. Everyone could hear, everyone could see, all the people who needed to could get on the stage - what more could one ask?

And finally thank you to the floor staff - Kym and Ana were just lovely - but so were all of the other waiting staff - so please pass on our thanks to them too.

Finally - yes, Monica - 2016……. We definitely would like to come back - why on earth would we want to go anywhere else!! Indeed, we might have  rebellion on our hands from our guests who now regard the RCP as where the annual ‘freefrom family get together’ happens!!

RCP sustainability initiatives

How we approach CSR/sustainability in our everyday operations.

Sustainability is a key part of our everyday operations across all areas of the business including catering, waste management, energy and with the suppliers and service partners we work with. Examples of some of the ways we approach sustainability in our everyday operations include:

  • Implementing a robust waste management programme throughout the venue to significantly reduce plastic waste and increase recycling, such as recycling 100% of kitchen waste with 0% going to landfill.
  • Working with energy efficient technology, such as Multi-Functional Devices, which has drastically reduced paper consumption.
  • Switching our electricity provision entirely to 100% renewable energy and uses.
  • Introducing solar panels which help to generate electricity for part of the estate.
  • Sourcing environmentally responsible suppliers and service partners. For instance:
    • Our caterer CH&CO is deeply committed to operating in a socially responsible and sustainable way. CH&CO was recently awarded three stars by the Sustainable Restaurant Association for its commitment to sustainability. Some of its initiatives include increasing the proportion of vegetable-led dishes on menus to combat environmental damage, purchasing high welfare meat and dairy products, serving sustainably caught fish to ensure the future of fish stocks and marine environments and sourcing fairly traded produce to ensure farmers in the developing world have access to a trade system based on justice and fairness.
    • All C&&Co staff undergo Planet Life training which focuses on reducing our impact on the environment both at the RCP and at home.
    • Our linen company uses green energy and a process that uses 70% less water which is then recycled.
  • Putting sustainable food at the heart of our menus.
  • Using eight wormeries to recycle kitchen and garden waste. The resulting liquid feed is then fed to our plants and the fine vermicompost is used as a top-dressing.
  • Hot composting our garden waste which is then used as a mulch and soil improver.

We are the first and only royal college to achieve the Carbon Trust Standard and we also hold ISO 14001 standard certification for environmental best practice. The Carbon Trust Standard is the world’s leading independent certification of an organisation’s impact in respect of the ‘three pillars’ of environmental sustainability: Energy usage and greenhouse gas (CO2e) emissions, water usage, management and effluent, waste management and disposal. It is awarded to recognise best-practice and real achievements in reducing environmental impact.

ISO 14001 is the international standard that specifies requirements for an effective environmental management system and provides a framework that organisations can follow to improve resource efficiency, reduce waste and improve overall environmental impact.

Through this forward thinking and innovation for change the culture resonates through our venue, staff and clients, creating a positive influence.

How we work with clients to minimise environmental impact

We encourage all of our clients to be mindful of their impact on the environment, some of the initiatives we have introduced include:

  • Guidance which encourages the use of the tube/buses/bikes and walking to the venue, rather than driving.
  • We encourage wellbeing by taking walks in the medicinal garden or Regent’s park before, during and after events.
  • Providing recycle bins at registration desks for organisers and delegates to use.
  • Providing water stations ‘Hydration stations’ to allow delegates to fill their water bottles for free.
  • The opportunity to purchase reusable cups for beverages from Regent’s Perk Café on site. Organisers can also arrange to buy and brand cups in advance to give away to event clients.

Green Success to date

We are really proud to have reduced our total carbon footprint by 30% over the past three years which is testament to our commitment and hard work in creating and managing our environmental management system.

In 2018 we saved 166 trees and 20 tonnes of co2 and recycled 1,800kg of cardboard, 1,250kg of paper, 5,600kg of glass and 1,500kg of junk removal

In 2019 we saved 560trees and 64 tonnes of co2 and recycled 4,925kg of cardboard, 9,215kg of paper, 18,000kg of glass and 6,000kg of junk removal.

We moved from silver to gold in the International Association of Conference Centre’s Green Star Accreditation. The association’s Code of Sustainability includes 60 tenets in areas
including waste management, recycling and water conservation which are periodically monitored to reflect state-of-art best practice.

We achieved First Mile Silver accreditation for achieving a 71% recycling rate.

Schemes for the future

We have completed investment in a brand new on site Café for staff and visitors in which we have completely eliminated plastic waste by ensuring all packaging is biodegradable or 100% compostable. The new cafe includes paper straws, plates and cutlery.  All food waste is composted and re-used in the RCP’s medicinal garden.

We also intend to introduce beehives on the flat roof of the building to assist in the decline of honey bees. The honey will then be packaged and used within our event services.

In order to encourage colleagues to share best practice within their own departments, we have launched our Green Champion initiative throughout the business. This can be as simple as ensuring people are recycling and not wasting paper to monitoring unnecessary usage of power i.e. leaving IT switched on and energy consumption. Each department has a nominated ‘green champion’ who is passionate about the environment and contributing to the cause.
